These terms apply to purchases and bookings made through 4×4.wales and offroadadventuretravel.com with Adam Hearne trading as Off Road Adventure Travel, including services offered under the 4×4 Wales name. Our trading and contact address is 3 Rhodfa’r Capel, Pembrey, Carmarthenshire SA16 0ES. You can contact us at Adam@offroadadventuretravel.com or on 07444 595812.
The sections below explain which terms apply to guided tours and which apply to self-guided digital Adventure Packs. The description of the tour or product you choose, your booking confirmation, and any tour-specific joining information provide additional details. If a booking includes travel services that qualify as a package under applicable law, your statutory package travel rights also apply. Nothing in these terms removes or limits rights that cannot lawfully be removed or limited.
1 Booking a guided tour
You may request a booking through our website, by telephone or by email. A booking is confirmed when we accept it and send written confirmation. Please check the confirmation promptly and tell us if any details are incorrect.
The lead booker is responsible for giving us accurate information about their party, passing relevant tour information to each participant, and making the payments due for the booking.
Prices, what is included, the number of vehicles and passengers covered, any deposit, and the payment schedule are stated on the relevant tour page or in your written quotation or booking confirmation. Do not assume that accommodation, ferries, meals, fuel or travel to the meeting point are included unless we expressly say so.
Please tell us about special requests and any matter that may affect participation before booking. We will consider requests but cannot guarantee an arrangement unless we confirm it in writing. Contact us before booking if a passenger is under 16 so that we can discuss the suitability of the tour. Children remain the responsibility of their parent or accompanying responsible adult throughout.
2 Deposits and final payment
A deposit is payable only where a deposit option is offered for the particular tour. Where one is required, its amount and the balance due date will be shown before you book or in your booking confirmation. One-day and weekend UK tours normally require full payment to secure the booking; different arrangements may apply to longer UK and overseas tours.
A deposit reserves your place and is normally retained if you cancel, subject to your statutory rights and the cancellation terms below. If you do not pay a balance when it falls due, we will contact you and give you a reasonable opportunity to pay. If payment is still not made, we may cancel your booking and apply the relevant customer cancellation terms.
3 Changes requested by you
Ask for any change to a confirmed booking by emailing Adam@offroadadventuretravel.com. A change is effective only when we confirm it in writing. Changes depend on availability and may involve costs charged by accommodation, ferry or other suppliers.
For an overseas tour, we may charge the £30 per person amendment fee stated in our existing terms, together with any reasonable additional costs incurred. We will tell you the cost before making a requested change. If a requested change cannot be made and you decide to cancel, the applicable cancellation terms will apply.
For a UK tour, contact us as early as possible if you want to change the date or participant details. A request made with less than 21 days’ notice cannot normally be accepted. We will tell you whether a change is possible and any cost before making it.
4 Cancellation by you of a UK guided tour
Tell us by email at Adam@offroadadventuretravel.com if you need to cancel. The effective cancellation date is the date we receive your written notice.
If we receive your cancellation at least 21 days before the tour, we will refund amounts paid above any applicable non-refundable deposit and any non-recoverable third-party costs that were clearly disclosed to you before booking. If you paid in full and no deposit or such costs applied, we will refund the amount paid.
If we receive your cancellation less than 21 days before the tour, the full tour price is payable and we cannot normally offer a date change or refund. We may, as a goodwill measure, offer the place for resale. If we sell it, we may offer a partial refund after deducting an administration fee of at least £15 and any costs we cannot recover. A resale or refund is not guaranteed.
If you cannot attend because of illness, injury, vehicle breakdown or another personal circumstance, please tell us promptly and consider making a claim under your insurance. These terms do not affect any refund or other remedy you are entitled to because we have failed to provide the service with reasonable care and skill or because another statutory right applies.
5 Cancellation by you of an overseas guided tour
Tell us by email at Adam@offroadadventuretravel.com if you need to cancel. The effective cancellation date is the date we receive your written notice. The following charges are based on the total tour price, excluding any separately booked ferry cost:
| Notice received before departure | Cancellation charge |
|---|---|
| 57 days or more | Deposit |
| 56 to 40 days | 40% of tour price, or deposit if greater |
| 39 to 20 days | 60% of tour price, or deposit if greater |
| 19 to 14 days | 90% of tour price, or deposit if greater |
| Less than 14 days | 100% of tour price |
If we have arranged a ferry or another separately identified service for you, its cancellation and amendment costs depend on the supplier’s applicable terms and the booking made. We will explain any recoverable or non-recoverable amount and pass on any refund we receive for that service. We cannot guarantee that a ferry booking can be transferred to another person or date.
Different cancellation rights may apply where a booking is a package under the Package Travel and Linked Travel Arrangements Regulations 2018. Those statutory rights take precedence where applicable.
6 Travel insurance
For UK tours, we strongly recommend arranging suitable insurance when you book. Check that it covers cancellation and curtailment of your tour for circumstances relevant to you. Our 21-day cancellation period means that a late cancellation can result in the loss of the full tour price.
For overseas tours, suitable travel insurance is a condition of participation. Your cover must be appropriate for the destinations, activities and duration of the trip and include emergency medical treatment, repatriation, cancellation and curtailment. Check any conditions or exclusions affecting driving your own 4×4. We may ask for evidence of cover before departure.
Insurance does not guarantee that an insurer will pay a claim. Read your policy and contact the insurer directly if you need to claim.
7 Changes or cancellation by us
We plan tours carefully, but access restrictions, weather, water levels, ground conditions, safety concerns, supplier changes and other events may require a change. We may alter the order of a route, use a suitable alternative lane, omit an unsafe section or adjust the itinerary.
We will tell you as soon as reasonably possible if we need to make a significant change before departure. If we cancel your tour, we will offer an alternative where available or refund the tour payments we have received, subject to any additional rights that apply to a package travel booking. We are not responsible for separately booked travel or accommodation costs except where the law makes us responsible for them.
If a substantial part of a tour cannot be supplied after it starts, we will consider suitable alternatives and any refund due under the applicable law and the circumstances. A change to an individual green lane because it is closed, unsafe or unsuitable does not automatically mean that the entire guided tour has been cancelled.
8 Your vehicle and driving responsibilities
You must have a valid licence for the vehicle you drive. Your vehicle must be road legal, appropriately insured, taxed where required, have a valid MOT where required, and remain roadworthy. Check with your insurer that your cover is suitable for the intended use on public unsurfaced roads. You are responsible for your vehicle, its maintenance, fuel, repairs, recovery costs and onward travel if it becomes unusable.
For UK guided green lane tours, all terrain tyres are the minimum requirement. Standard vehicles are welcome when they meet that requirement and are suitable for the particular route. If your wheels are larger than 20 inches or your tyre profile is below 55, contact us before booking so that we can assess the vehicle against the planned tour. These are our tour suitability thresholds, not legal wheel or tyre limits. Other vehicle requirements stated for a particular tour also apply.
Vehicles on overseas tours must meet the legal requirements of every country visited. You are responsible for checking your licence, registration, insurance and any other required vehicle documents before departure.
Driving and recovery involve risks, including scratches and damage to tyres, wheels, bodywork or other vehicle components. Drive within your ability and stop to ask the guide if you are unsure. Do not attempt a recovery without the guide’s direction. You remain responsible for deciding whether you and your vehicle can safely proceed.
9 Passports, entry requirements and overseas preparation
For overseas tours, each traveller is responsible for checking the current passport, visa, entry, health and driving requirements for their nationality and itinerary, and for obtaining the necessary documents. Requirements can change between booking and departure. Our overseas guidance notes are intended to help you prepare, but you must check current official advice and the requirements that apply to you.
Tell us promptly if a documentation or other issue could prevent you travelling. The applicable cancellation terms will normally apply if you are unable to join the tour, subject to your statutory rights.
10 Conduct and the guide’s instructions
Follow the guide’s safety and convoy instructions. Drive responsibly, respect other road and countryside users, stay on the permitted route, comply with closures and signs, and leave gates as you find them. Do not drive under the influence of alcohol or drugs, or when medication makes driving unsafe.
We may require a participant to stop driving with the group if their conduct creates a serious safety risk or repeatedly disregards reasonable instructions. We will explain the concern and, where appropriate, give them an opportunity to address it. Any refund or further action will depend on the circumstances and applicable law.
11 Risks, route information and responsibility
Guided tours can involve loose surfaces, narrow lanes, water crossings, changing weather and locations some distance from immediate assistance. The guide will use their judgement in planning and managing the tour, but conditions may change and no particular lane can be guaranteed to remain open or passable.
The driver remains responsible for driving safely, obeying the law and deciding whether to proceed through any section. Tell the guide immediately if you are uncertain, become unwell, have a vehicle problem or are involved in an incident.
We do not exclude or restrict liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be excluded or restricted. Your statutory rights remain unaffected.
12 Adventure Packs and digital bundles
A 4×4 Wales Adventure Pack is a self-guided digital product, not a place on a guided tour. The product description tells you what files and information are included. Individual packs and digital bundles may include GPX navigation, a Digital Roadbook, an A5 Adventure Guide, route information and access to published route updates for 12 months from purchase.
Copyright and permitted use. The original text, illustrations, photographs, roadbooks, route notes, GPX files and other material in each Adventure Pack are protected by copyright where applicable. Copyright in original material created by 4×4 Wales is retained by Adam Hearne trading as Off Road Adventure Travel; material credited to others remains the property of its respective rights holder. Purchasing a pack gives the purchaser a personal, non-transferable licence to use it for their own self-guided journeys, including loading the files onto their own devices and printing a copy for personal use. It does not transfer copyright or grant permission to share, resell, publish, upload or distribute the pack or a substantial part of it. Commercial use—including using its files or content to plan, advertise or operate paid tours or other services—requires our prior written permission. This restriction is subject to any use permitted by law without permission.
Contact us if a download is missing, inaccessible or corrupted so that we can help resolve the problem. The route status page and any updates are planning aids. A GPX track does not grant a right to drive a lane or guarantee that it remains open, passable or suitable for your vehicle and experience. Before every journey, check current restrictions, closures, signs, weather, water levels and ground conditions. Do not bypass a closure or continue where access or safety is uncertain. You are responsible for independent navigation, your vehicle and your driving decisions.
13 Adventure Pack cancellations and problems
The separate Adventure Pack Refund Policy applies to individual digital packs and digital bundles.
If your download has not begun, you may cancel within 14 days of purchase. Contact us with your order number and the email address used at checkout.
At checkout, we ask for your express agreement to immediate supply of the digital content and your acknowledgement that you will lose the right to cancel once the download begins. After that point, we do not offer a refund simply because you change your mind, decide not to use the pack or change your travel plans.
If a file cannot be accessed, is missing or corrupted, or the pack is not as described, contact us. We will work to resolve the issue and provide the remedy required by law. Nothing in this section affects your statutory rights.
14 Complaints and contacting us
If something is wrong during a tour, tell the guide as soon as possible so that we have an opportunity to address it. For a complaint after a tour, or a problem with an Adventure Pack, email Adam@offroadadventuretravel.com with your booking or order number and a clear description of the issue. We will review it and respond.
